Privacy Policy

This policy explains what information RB HVAC Inc. collects when you use rbhvacinc.com, why we collect it, and how California residents can exercise their privacy rights. We do not sell or share personal information, and we do not run advertising or cross-site tracking pixels.

1. Information we collect

You give us voluntarily: your name, phone number, email address and service address when you request a quote, book service or email us; details about your HVAC system and the issues you describe; and the content of any message you send us.

Collected automatically: our hosting provider may log your IP address, browser and device type, the page you came from and the pages you viewed, so that we can keep the site secure and understand which pages are useful.

Cookies: this site uses strictly necessary cookies for security and function, and preference and analytics cookies only with your consent through the cookie banner. We do not use advertising networks or third-party remarketing pixels.

2. How we use it

To respond to enquiries and schedule appointments; to diagnose, quote and perform the work you request; to send appointment confirmations and arrival notifications; to issue estimates, invoices and warranty documentation; to keep your equipment's service history so we can honour warranty coverage; to process payments; to keep our website and services working and improve them; and to meet our legal, tax, insurance and regulatory obligations.

We do not sell or rent your personal information.

3. Who we share it with

Only the service providers who support our business: scheduling and dispatch software, payment processors, web hosting, email and SMS providers, and parts suppliers. Each is bound to use your information only to perform services for us. We also share it with our accountant, attorney and insurers where necessary, and with authorities where the law requires it.

Service providers and visitors to our premises may be photographed or recorded for security purposes.

4. Service and industry records

To help diagnose recurring faults and support warranty claims, service providers and manufacturers keep records of the equipment they serviced, such as make, model, serial number and date of service. Where you ask us to honour warranty coverage, we may share the relevant record with the manufacturer or warranty provider. This is standard industry practice.

5. How we protect it

We use commercially reasonable safeguards: encryption in transit (HTTPS) on this site, access controls on the personal information we hold, and internal access limited to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. We keep personal information only as long as it is reasonably needed for the purposes above, including warranty and legal record-keeping.

6. Your California privacy rights

California residents have the right to know what personal information we have collected and from where, the right to delete it, the right to correct inaccurate information, the right to opt out of sale or sharing and of targeted advertising, the right to limit the use of sensitive personal information, and the right to be free from discrimination for exercising any of these rights.

We do not sell or share personal information as those terms are defined by the CCPA and CPRA, and we do not use or disclose sensitive personal information. To exercise any right, contact us using the details below. We will verify your request, and you may designate an authorised agent. We will respond within the legally required period, generally 45 days, extendable once by 45 days where permitted. 7. Pre-visit notice (California Health & Safety Code § 1798.91.4)

We collect personal information from you as described above, including your name, contact details, service address and information about your HVAC equipment. We use it to schedule and perform services, provide quotes and invoices, support warranty claims, communicate about your service, and comply with legal obligations. We do not sell or share it. We retain it only as long as necessary for those purposes, which may include maintaining service history for warranty support.

You have the right to request access to and deletion of your personal information, to correct inaccurate information, and to opt out of sale, sharing and targeted advertising. You may also designate an authorised agent, and you have the right not to be discriminated against for exercising your rights. We will never deny service, charge a different price, or provide a different level of service because you exercised a privacy right.

8. Children's privacy

This site is not directed to children under 13 and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

9. Your choices

Every marketing email includes an unsubscribe link. Reply STOP to any SMS to opt out; transactional messages about your appointment cannot be opted out of. You can accept, reject or change cookie preferences at any time through the cookie banner, and your browser can block cookies, though some features may then work differently.

10. Changes to this policy

We may update this policy from time to time. When we make a material change we will update the date at the top of the page and, where required, give additional notice.
